Contract Administrator

Service Coordination

  • Create and assign service calls/work orders to Field Service Engineers (FSEs).
  • Monitor call closure and turnaround time (TAT).
  • Follow up on pending service requests and escalations.
  • Coordinate preventive maintenance schedules with customers and service engineers.

Contract Management

  • Maintain AMC/CMC contract database.
  • Track contract expiry dates and support renewal activities.
  • Ensure timely contract creation, extension, and system updates.
  • Generate contract-related reports and dashboards.

Spare Parts Management

  • Coordinate spare part dispatch and logistics.
  • Track part consumption and inventory status.
  • Support warranty and replacement processes.
  • Ensure availability of critical spare parts for service support.

Documentation & Compliance

  • Maintain service records, service reports, installation reports, and customer documentation.
  • Ensure audit trail compliance and document control.
  • Support regulatory and quality requirements as per company guidelines.
  • Archive service documents and customer approvals.

Reporting & Data Management

  • Prepare daily, weekly, and monthly service KPI reports.
  • Track equipment uptime, PM compliance, call backlog, and engineer productivity.
  • Generate reports using ERP/CRM systems and Excel.
  • Analyse service performance data and identify improvement opportunities.

Cross-Functional Coordination

  • Work closely with Logistics, Finance, and Regulatory teams.

Preferred Skills

  • Knowledge of IVD instruments and laboratory workflows.
  • Experience handling AMC/CMC contracts.
  • Understanding of service KPIs and customer support processes.
  • Strong analytical and reporting skills.
  • Ability to handle multiple priorities and work under deadlines.
