THE ROLE

A family should never discover something about their programme in a complaint. The Student Coordinator's job is to make

sure they never have to.

The Student Coordinator keeps the Catalystia student pathway running end to end — from the moment a family enquires,

through discovery, enrolment, configuration, month-by-month delivery, and renewal. The journey runs on six phases and nine

flowchart steps, each with an owner, a service level, and an exit gate; the Student Coordinator is the person making sure

every phase actually hits its SLA and every exit gate is evidenced, not assumed.

It is a hands-on, detail-driven role that blends scheduling, tracking, escalation, and family communication. This is not a

counselling role — discovery calls, baselines, and guidance plans stay with the Catalyst — but the Student Coordinator is the

connective tissue between Admissions, Catalysts, the CSM, and the platform's automation that keeps no student stalling

silently and no family caught by surprise.

WHAT THIS ROLE IS NOT

✗ Not a Catalyst. You don't run discovery calls, write baselines, or build guidance plans — that's the Catalyst's work; you

make sure it happens on time and is on file.

✗ Not authorised to grant entitlement concessions. Extension, carry-forward, and refund requests are routed to the CSM and

answered from the governing terms — you never improvise here.

✗ Not a sales role. You flag scheduled upgrade moments; you don't pitch tiers.

✗ Not exempt from documentation. If a checklist line can't be evidenced, it didn't happen — and catching that before Month

3 is your job.

WHERE THIS ROLE SITS

This role sits inside Student Success, reporting to the Catalyst Success Manager (CSM). You coordinate daily with

Admissions on enquiry and enrolment, with Catalysts on discovery calls, configuration, and delivery milestones, and with the

Platform/automation team on nudges, dashboards, and entitlement tracking. You are the first point of contact for logistics

throughout a family's journey.

The role connects and coordinates:

  • Students & families: enquiry through enrolment, configuration, delivery cadence, and renewal or exit
  • Admissions: enquiry triage, tier selection logging, terms and consent capture, payment handoff
  • Catalysts: discovery call scheduling, configuration stall support, deliverable and depth tracking
  • CSM & Platform: escalations, entitlement queries, churn signals, and the automated nudge and dashboard system

CORE RESPONSIBILITIES

Your role is organised into four clusters, mapped to the six phases of the student journey. Each cluster has a clear purpose,

and everything in the role belongs to one of them.

Cluster 1 Coordinate Enquiry & Enrolment

Phases A–B — Enquiry, discovery, and enrolment logistics

You keep the front door moving — every enquiry logged, every discovery call held on time, every enrolment step captured as

evidence rather than assumed.

  • Log every enquiry the same day, with grade band and destination intent captured
  • Create the student profile and capture guardian details where the student is a minor
  • Confirm Catalyst assignment is visible to the family within 24 hours of enquiry
  • Schedule and confirm the discovery call with student and guardian — offered within 48 hours, held within 5 days
  • Track fit-concern checks and coordinate a rematch, no questions asked, when requested
  • Route the call summary and tier recommendation to the family within 24 hours of the call
  • Track tier selection, T&C affirmations, and guardian consent capture at the point of enrolment
  • Confirm the welcome pack is issued within 1 hour of payment, and pre-schedule parent sessions where the tier includes

them

Cluster 2 Drive Configuration & Prevent Stalls

Phase C — Seven Cs selection and questionnaire completion

A student who doesn't complete configuration doesn't start coaching, and a student who doesn't start coaching churns. You

own catching that before it happens.

  • Monitor the four-day configuration window for every enrolled student
  • Trigger the 48-hour nudge if no Cs are selected, and the 72-hour nudge if questionnaires are incomplete
  • Flag students to their Catalyst for the 96-hour call — a human call, not a fourth email — when configuration is still

incomplete

  • Escalate stalls beyond 7 days to the CSM, and ensure the entitlement clock position is explained to the family in

writing

  • Confirm all required questionnaires are submitted and routed to the Catalyst's queue

Cluster 3 Track Delivery, Entitlements & Retention

Phases D–F — Analysis, month-by-month delivery, and renewal

You keep the entitlement clock honest and the delivery cadence visible — so nothing about a family's programme is ever a

surprise.

  • Monitor the entitlement clock for every active student: sessions used, sessions remaining, and days to expiry
  • Ensure automated expiry warnings go out on schedule to student and guardian
  • Track Month-1 through Month-3 deliverable production against template, and flag anything not issued on time
  • Monitor churn signals — configuration stall, two consecutive reschedules, no session booked within 14 days, an absent

guardian — and route each to the CSM's defined action

  • Coordinate the Month-3 progress review and scheduled upgrade conversations, and log the outcome
  • Support outcome-pack issuance and testimonial requests at exit or renewal

Cluster 4 Report, Document & Improve

Evidence, KPIs, and process quality across the whole journey

Every checklist line produces evidence, and evidence is the entire argument when a family asks what they've received. You're

the one making sure it exists.

  • Maintain the CRM record and checklist evidence for every student, phase by phase
  • Produce the daily configuration stall report and the weekly cohort health review — time-to-first-session, unpublished

guidance plans, overdue deliverables, expiry warnings due

  • Track student journey KPIs: enquiry-to-discovery-call time, configuration completion rate,

time-to-first-coaching-session, guidance-plan on-time rate, deliverable on-time rate, parent engagement, session

utilisation, Month-3 retention, and upgrade rate

  • Feed process gaps and stall patterns back to the CSM and Platform team, and bring a proposed fix, not just a flag

INTERNAL COORDINATION & ORGANISATIONAL CONTRIBUTION

Meeting Participation

  • Run or contribute to the daily configuration stall stand-up
  • Participate in the weekly cohort health review and the monthly deliverable audit and retention review
  • Play an active role in operational decision-making and internal communication cycles

Operational Ownership

Holds end-to-end visibility of every student's journey through the nine steps. Accountable for evidence completeness and

SLA adherence across the pathway — not for the counselling content itself, which stays with the Catalyst, and not for

entitlement exceptions, which stay with the CSM.

SECONDARY RESPONSIBILITIES

Valued, but never at the cost of the four primary clusters above.

  • Support Admissions during enquiry surges or seasonal peaks
  • Assist in maintaining student- and parent-facing collateral — the Welcome Handbook, the Seven Cs explainer — in

coordination with Content

  • Provide structured feedback on the CRM task template and checklist as gaps are discovered
  • Support the Partnerships team's internship-pipeline tracking for Accelerator students where asked

FIRST 90 DAYS

This is what winning looks like in your first quarter.

Days 1–30

Learn the nine-step flowchart and six phases cold. Shadow Admissions and Catalyst handoffs,

learn the CRM checklist and entitlement dashboard, and map every current nudge and escalation

trigger.

Days 31–60

Own the daily stall report and weekly cohort health review without prompting. Run

enquiry-to-discovery-call and configuration tracking independently, and close the top three gaps

found in month one.

Days 61–90

Deliver your first full monthly deliverable audit and retention review. Propose one process

improvement that measurably reduces stalls or missed SLAs, and be the person the team trusts to

know exactly where every student stands.

REPORTING & SCOPE

This role sits within Student Success and reports to the Catalyst Success Manager (CSM). You are the primary owner of

day-to-day journey coordination, SLA tracking, and evidence completeness across the student pathway — not of the

counselling content itself, which sits with the Catalyst, or of entitlement exceptions, which sit with the CSM.

You work cross-functionally with Admissions, Catalysts, the Platform/automation team, and the Quality lead, and you

escalate with context and a recommended fix, not just a problem.
